Give callers a useful alternative

Return the call with a simple opening

Introduce yourself, check it is still a good time to talk and repeat the issue in your own words. Confirm the postcode and whether the caller needs an urgent visit or a quote. If you cannot take the job, say so promptly so they can contact somebody else.

Keep a second attempt from becoming guesswork

If there is no answer, mark that you tried and choose a time to call again. If you send a text, keep it brief and relevant to the enquiry. Close the lead when it is booked or no longer going ahead; do not leave old requests looking new in the list.
