Lead capture for estate agents: valuations, viewings and landlord enquiries

A practical way for busy branches to keep valuation, viewing and landlord enquiries from sitting in voicemail.

Separate the intent without making the form long

A valuation request, viewing enquiry and landlord question need different follow-up, but the first form can remain simple. Ask what the person wants and which property or area they are contacting you about.

Put the link where property interest happens

Use a LeadBuzz link on valuation pages, window cards, property boards, social profiles and email signatures. The estate agent landing page gives you suitable wording to start from.

Keep appointments visible

Once a viewing or valuation is agreed, add the date, time and address to the booking record so the whole team knows what is happening next.

Separate the reason for getting in touch

A seller asking for a valuation, a buyer asking about a viewing and a landlord looking for management need different responses. Offer a short choice of enquiry type or ask a plain question. Do not make someone complete a full sales qualification form before they can ask about one property.

Capture the property reference clearly

Where possible, let the customer provide the property address or postcode and include a link or reference number from the listing. For a valuation enquiry, the property being valued is different from the person’s contact address, so label the field accordingly. Confirm the details when the negotiator calls.

Put the callback route at the useful moments

Add the link to valuation pages, landlord pages, window cards, email signatures and viewing follow-ups. A QR code on a board may help a passer-by ask about a property, but it should open a page that lets them say which listing they mean.

Fit around the branch CRM

LeadBuzz can hold a first-response request and help the team call back. It is not a replacement for a property CRM, portal workflow or compliance record. Decide who transfers a qualified enquiry into the system your branch uses and how quickly that hand-off should happen.

A quick checklist

  • Ask whether the enquiry is about selling, viewing or letting.
  • Label the property address separately from the caller’s address.
  • Include the listing reference when one is available.
  • Agree how the callback lead moves into the branch CRM.
